Description

The Building Permits Administrative Assistant position will work closely with the Building Inspector, schedule inspections and assist the public/contractors with applications and permits. This position is responsible for having a working knowledge of all aspects of the office and being able to assist in all areas as needed.

Responsibilities

  • Maintain calendar for Building Inspector, scheduling inspections and meetings.

  • Utilize permitting software to process applications for all construction activities in the County, including new construction, remodels, accessory buildings, and trades. Process payments.

  • Follow procedures for handling inspection reports: recording, issuing, filing, closing, and refundable deposits.

  • Run monthly report of expired permits and follow up on projects.

  • File Notice of Noncompliance/Compliance as needed with Register of Deeds.

  • Create letters and maintain documentation as needed.

  • Make 911 signs for new residences and contact Roads Dept. for installation. Notify appropriate utilities and individuals of new addresses assigned in Washington County

  • Attend evening Planning Commission meetings and assist using meeting software.

  • First on the phone, monitor and respond to voicemails and emails, manage the front desk, process mail.

  • Greet and assist visitors and contractors in a professional and friendly manner.

  • Have a working knowledge of all aspects of the office including zoning regulations, assisting the other Administrative Assistant and filling in as needed.

  • Other duties as assigned

Skills

  • Working knowledge of general office procedures.

  • Knowledge of the layout of the County and able to locate specific locations on a map.

  • Ability to accurately record and maintain records

  • Proficient in Microsoft Office Suite, data entry systems, and general office skills and equipment.

  • Ability to establish and maintain effective working relationships with employees, supervisors, other office workers, other departments, officials and the public.

  • Ability to effectively communicate verbally and in writing.

  • Ability to respond with flexibility to multiple work assignments.

  • Basic understanding of flood zones.

  • Ability to work independently and as part of a team in a fast-paced environment. Be self-motivated.

  • Strong organizational skills and attention to detail.

Qualifications

  • High School diploma or equivalent required.

  • Two years of related experience preferred.

Working Environment

While performing the duties of this job, the employee will be exposed to indoor and outdoor conditions. The noise level in the work environment is usually moderate but may increase to a loud volume.

Job Type: Full-time

Pay: $17.00 - $21.00 per hour
